Venue Hire
Booking & Payment
-
A 25% non-refundable deposit is required to secure your venue hire date/s, until this is received your booking is not secure.

Full payment is due 30 days before the hire date.

Additional costs for services during the event (e.g., equipment hire) must be settled within 14 days post-hire.

Unpaid balances by the due date will result in automatic cancellation.
Hire Period & Responsibilities

Minimum hire period: 2 hours.
-
Hire starts and ends with key exchange; set-up and clean-up time must be included within the hire period.

Blank canvas hires must ensure the space is returned to its prior state.
Insurance & Documentation
-
All groups, individuals, organisations and subcontractors must have completed the necessary paperwork, risk assessments, insurance and medical forms and/or participation agreements for their guests.

Commercial hires must have appropriate insurance and liability coverage for all activities.
Restrictions
-
Evening hires must conclude by 11 pm.

All event planning must adhere to our sustainability policy.
Damages
-
Guests are responsible for any damage to property or equipment during their event.

Land and Sea Lancaster reserves the right to withhold deposit funds to cover damages.
Amendments
-
Changes to bookings must be requested in writing and may incur additional charges.
Cancellation & Refunds
Venue Hire
-
Cancellations over 45 days before the hire date may request a refund minus the deposit.

Cancellations within 30 days are non-refundable.

Payments may be transferred to a new hire date within 12 months if cancellation occurs 90+ days before the hire date.

If Land and Sea Lancaster cancels your hire, you will receive a full refund or alternative arrangement.
Event Bookings.

If Land and Sea Lancaster cancels your event, you will receive a full refund or the option to reschedule.

Cancellations made 30 days or more before the event date will receive a 100% refund.
-
Cancellations made less than 30 days are fully earned, with no refund.

If you miss an event we cannot refund you but you can pass your ticket on to a friend or family.
External Vendors & Sub Contractors

External vendors must provide valid insurance and comply with health and safety regulations.

Approval from Land and Sea Lancaster is required for all external vendors.

All sub contractors must complete our onboarding form
Children & Vulnerable Guests
-
Children under 16 must be supervised by an adult at all times.
-
Parents/guardians are responsible for the safety and behaviour of children.
Photography & Media
Photos and videos may be taken during events for promotional use. Notify us in advance if you do not wish to appear in media.
